Contracts Coordinator

We are seeking an ambitious and detail-oriented Contracts Coordinator in our Canton, NY office.  In this role, you will be responsible for supporting the contract management process throughout the entire lifecycle of a contract, from drafting and review to negotiation and execution.  This role will ensure compliance with company policies and legal requirements, while also facilitating communication between internal teams and external partners.

Contracts Coordinator Qualifications and Skills:

  • Bachelor’s degree in Business Administration or a related field preferred, all relevant experience will be considered.
  • Paralegal training and experience a plus. 
  • 2+ years of experience in contract management or related role, preferably in the architecture/engineering or construction industry.
  • Ability to obtain Notary Public Commission/License preferred.
  • Familiarity with relevant laws and regulations related to contract management.
  • Excellent written and verbal communication skills.
  • Detail-oriented with strong organizational skills.
  • Strong analytical and problem-solving abilities.
  • Exceptional time management skills, with ability to manage multiple priorities effectively.
  • Able to work independently and collaboratively in a dynamic, fast-paced environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe, and contract management software.

Contracts Coordinator Responsibilities:

  • Draft, review, edit, and process contracts for execution, ensuring all terms are accurately captured and in compliance with legal standards.
  • Assist in negotiations with vendors and clients to achieve favorable terms and conditions. 
  • Work closely with legal, accounting, procurement, and project management teams to gather necessary information and clarify contract details.
  • Maintain an organized system for tracking contract statuses, deadlines, and milestones, and prepare associated reports.
  • Ensure that all contracts adhere to company policies and legal standards, identifying potential risks and areas for improvement.
  • Process vendor and client insurance certificate requests, and address insurance questions with clients, subcontractors, and insurance carriers. 
  • Serve as the primary point of contact for contract-related inquiries, providing support and guidance to internal teams and external partners.
  • Maintain an organized filing system for contracts and related documents, ensuring easy retrieval and compliance tracking. 
  • Assist in training team members on contract procedures and best practices.
